Roraima Vendor Guide
Booking configuration
What Booking configuration controls
Booking configuration turns a product created in one of the two booking categories into a listing that guests can book, using three tabs of the product page.
Each tab covers one part of the work:
| Tab | What you set there |
|---|---|
| Booking | The structure, a pause of bookings, the calendar with date exceptions and seasons, the stay or time-slot rules, what the accommodation offers and the prices. |
| Units and access | How arrivals are recorded, the places per unit, the units and their names, locks, devices, scenarios and the instructions for guests. |
| External calendars | The calendar link of each unit for other booking sites, and the calendars those sites send to Roraima. |
A listing has one or more units: identical rooms or apartments, sold at the same price and with the same rules, each with its own name. Units that differ from each other, such as apartments with different registration codes, are separate listings.
Two pages outside the product page show the result of these settings across all your listings: Calendar lays out the nights of every unit, and Connected portals lists the state of every external calendar.
Menu path
Vendor Back Office → Listings and structures → Listings → select the bookable listing you want to edit → Booking, Units and access or External calendars
The three tabs appear on a product in Nightly accommodation or Spaces and services by time slot. If they are missing, the product was not created as a bookable type; its category cannot be changed afterwards, so create a new product with New nightly accommodation or New space or service by time slot in Listings.
The calendar preview, date exceptions and seasons appear once the product has been saved for the first time.
Booking tab
Start with the structure
Select Structure before configuring anything else. It is required for every bookable product, including time slots and offers without an overnight stay. The product inherits the structure's address and location, shown below the field as Inherited address. Open structure opens the selected structure and Manage structures opens the list of your structures.
The entrance QR and the structure's own amenities and rules are managed in the structure: see Set up accommodation structures.
Pause bookings without hiding the listing
The Paused bookings box, just below Structure, stops new bookings while the listing stays online. Use it for a seasonal closure, building works or any period in which you do not want bookings.
- Tick Pause bookings for this listing.
- If you know when you reopen, choose Reopens on: the first day that can be booked again. Bookings resume on their own from that day. Without a date the pause lasts until you remove the tick.
- Optionally write a Message for guests, for example the reason for the closure. It is written per language: the icon beside the field shows the language you are editing.
- Press the product's main Save.
While the listing is paused, its page stays visible and in search engines, with a Bookings are paused notice (or Closed, reopens on followed by the date) and your message, and the booking button is disabled. Nobody can book it through Roraima: the calendar, cart, checkout, AI assistants and Roraima Stay all refuse the paused nights. Bookings already received remain valid.
The pause does not reach other booking sites. The calendar link you give to Airbnb or Booking.com keeps showing the paused nights as free, and a stay imported from those sites on paused nights is accepted. To stop those bookings too, close the same dates on each site.
When you remove the pause, the message you wrote for each language stays saved and appears again the next time you pause the listing. Delete it if it no longer applies.
This box pauses the whole listing. It is different from Pause in the External calendars tab, which only stops one imported calendar from bringing in bookings.
Read the calendar preview
The Calendar preview shows one month at a time; ← and → move between months. Each day is marked Available, Partially booked, Fully booked or Not bookable. When a listing has several units, a strip below the month shows each unit on its own row.
The preview is for you: clicking a day does not edit it, and guests see a simpler calendar that only says whether a night can be booked and at what price. To change a day, use a date exception or a season.
The Calendar page of the Calendars section shows all your listings and units in one grid instead, with each booking as a bar. A night it marks Listing paused, Day closed by an exception, Season closed or Day of the week not open for booking is closed by the pause, a date exception, a season or the weekly availability set in this tab.
Share a link with the dates already set
On a nightly product, Link with the dates already set builds a link to send to someone who asked you for a quote. Choose Check-in date, Check-out date and Guests: the link appears ready to use, and Copy copies it. Whoever opens it lands on your own storefront with the accommodation already open, the dates and guests already set and the total already calculated.
The link appears only when the dates respect the rules of the accommodation: arrival from today and within the booking horizon, departure after arrival, and a stay between the minimum and maximum nights. Otherwise the box shows the rule that is not met. The link does not hold the nights: whoever books first takes them. It reads the saved values, so save the product after changing the capacity or the number of nights before building a link.
Date exceptions
Use + Add date override in Date exceptions to change one date:
- Select the Date.
- Choose whether it is Available or Not bookable.
- Add a Price for the date only when that date needs a different price.
- Add a private Note if it helps you remember the reason.
An exception takes priority over the general rules for that date. ✕ removes a row.
The Calendar page leads here to close dates. For a listing with a single unit, its Close dates in the listing button opens this tab, and you close the dates with a date exception set to Not bookable. For a listing with several units, Close these dates closes the dates of one unit straight from the Calendar, with the form described in Add an external booking.
Seasons
Use + Add season for a rule that covers a date range. Give the season a name, choose its first and last date, then set a price multiplier or mark the whole season as not bookable. On a nightly product the two dates are labelled Check-in date and Check-out date; on a time-slot product they are labelled First day and Last day.
Choose Yearly only when the same rule must repeat each year. Use One-time for a rule tied to specific dates. When some days on sale are covered by no season, a note above the seasons says so: the base price applies to those days.
Date exceptions and seasons apply to the whole day: on a time-slot product, closing a day closes all its time slots.
Booking mode and rules
The booking mode is not chosen in this tab. It comes from the product's category and is shown as fixed text: Nightly (accommodation) for Nightly accommodation, Time slots (courts, rooms, equipment) for Spaces and services by time slot. The booking mode cannot be changed after creation: to offer the same space the other way, create a new product of the other type.
The tab shows only the fields of its mode:
- Nightly — check-in time, check-out time, minimum nights and maximum nights.
- Time slots — slot length, opening time, closing time and maximum consecutive slots.
Both modes then ask for the Cancellation policy, the Weekly availability and the Timezone. Below the cancellation policy a line describes the refund rule of the policy you chose. How far ahead guests can book is set by Roraima, not in this tab.
How many people can book the same dates is not set with a number of concurrent bookings: it follows from the units and the places per unit in Units and access.
Describe the accommodation
On a Nightly accommodation product the Booking tab has an About the accommodation section after the stay rules. It does not appear on a time-slot product.
It holds 27 questions about the unit, answered with buttons and numbers: there is nothing to type, and none of the questions is required. Every answer you give appears to guests on the accommodation page (a short line under the title and an Amenities tab), on stay.roraima.io and in the AI assistants that look up Roraima listings.
- Guests book: entire place, private room or shared room.
- Type: room, suite, apartment, house, villa, chalet, bungalow or cottage.
- Beds and bathrooms: bedrooms, double beds, single beds, sofa beds, bunk beds, bathrooms and floor area in m², set with − and +.
- Inside: private bathroom, air conditioning, heating, TV, kitchen (full or kitchenette), microwave, washing machine, iron, fireplace, hot tub, cot and workspace.
- Outside: balcony or terrace, garden and barbecue.
- Safety and accessibility: gas detector, fire extinguisher and wheelchair access.
A button left off, or a number left at 0, means "no answer", not "no": the accommodation page simply says nothing about it. Pressing a selected choice again clears it.
Wi-Fi, parking, breakfast, pets, house rules and languages spoken belong to the whole structure and are answered in the structure's Amenities and rules section: see Set up accommodation structures. The accommodation page shows the unit's answers together with those of its structure.
Advanced pricing
Turn on Enable advanced pricing before relying on its rules: while it is off, the values stay saved but do not change any price. On a nightly product it offers the weekend multiplier, last-minute and early-bird discounts, base occupancy and an extra-guest surcharge. On a time-slot product it offers only the weekend markup.
Multipliers are factors: 1.00 leaves the price unchanged and 1.20 adds 20%. Discounts are decimals: 0.10 is 10%, so writing 10 would not mean ten per cent.
Review the capacity field and the Cleaning fee even when the advanced rules are off: Maximum guests on a nightly product, Max people on a time-slot product. The cleaning fee is added once to the total of the stay, not per night.
When a unit has more than one place, the price of each night or time slot is per person and is multiplied by the people in the booking. Base occupancy and Extra guest surcharge then disappear, and cleaning and options are charged once per booking.
Units and access tab
Guest arrival
Choose one of three cards (on a time-slot product the section is called Customer arrival):
- Not needed — nobody confirms the arrival, and the booking closes on its own at the end of the period.
- I confirm it — you confirm the arrival with one tap from the booking page, and you receive an email if it is still not confirmed shortly after the arrival time.
- With the QR at the entrance — the arrival is recorded when the guest scans the structure's QR and enters the code received by email. If the guest's paperwork is not complete yet, the arrival is recorded as soon as it is; you can always confirm it yourself too.
With the QR option, a To turn it on box lists what is still missing until it reads All set: the structure's QR must be turned on, and on a nightly product you must accept the Automatic-arrival disclaimer. Saving the QR option without accepting the disclaimer is refused.
This choice does not change the guest's access. On a time-slot product the door code is valid from 5 minutes before the time slot starts until 5 minutes after it ends, and the device panel works only during the time slot.
Places per unit
Leave Places per unit at 1 when each unit is booked as a whole. Set more places when the unit is shared and sold per person, as in a dormitory: each person takes one place and pays the price per person. A shared unit is a single room, and Italian statistics count it as one room.
With a shared unit, Maximum guests cannot exceed the places per unit and is lowered to that number when you save. Raising the places, or moving from 1 to more places, is refused when future bookings would no longer fit.
Units
Each unit has a box with its Unit name: the name guests read on their booking page and in the messages with the door code, for example Room 1. It is required when the listing has two or more units, up to 20 characters and different from the other units.
- Add unit adds a new box. Remove this new unit cancels a box that has not been saved yet.
- Archive this unit takes a saved unit off sale when you save: its external calendars stop for good, and past bookings keep its name. A unit with bookings or blocks ending today or later cannot be archived, and the last unit of a listing never can.
- A new unit gets its calendar link and imports in External calendars only after you save.
- Your plan sets how many units you can have in total. When the limit is reached, a message explains it instead of adding the unit.
With one unit the box shows only the name and Archive this unit: the locks, devices and scenarios shared by all units apply. With two or more units each box also has its own Lock 1 and Lock 2, Device access, Check-in scenario and Check-out scenario, for example the room's own door or air conditioner.
Order of the units
From two units, the Order of the units box decides which unit a new booking receives. By default the listing is Assigned to fit bookings best. Press Assign in the order of the units to give each new booking the first free unit in your list, and use ↑ and ↓ to change the order. Check the new order opens a confirmation page that lists any future booking that would move; Confirm saves the choice for new bookings, and Back to the listing leaves without saving. Assign to fit bookings best returns to the default.
Shared by all units
The locks, devices and scenarios in this part apply to every unit of the listing, for example the building entrance. A device that serves only some units, such as a bathroom shared by two rooms, also goes here.
Use Device access to select only the devices guests may control from their panel for the whole booking. Up to 10 devices can be selected; remove one with the × on its tag.
Use Access locks to choose up to two compatible locks that receive temporary booking codes. Each completed PIN cycle of a booking costs 20 credits. Give each selected lock a clear Name shown to guests, for example Main entrance: the name is enabled only after its lock is selected, and the same device cannot be used in both positions. Write the name in every language you sell in; a guest whose language has no name reads a generic lock name.
Scenarios at arrival and departure
Check-in scenario runs at the configured check-in time; Check-out scenario runs after check-out time, once the late-departure allowance has passed. On a time-slot product they are called Start scenario and End scenario: the first runs when the time slot starts, the second when it ends, and when several time slots are booked back to back the end scenario runs only when the last one ends.
Both run even if the guest never arrives and even if you do not record the arrival. Locks are managed separately, with their own codes. If a device also serves another guest who is still there, even from another listing, the end scenario waits until that guest has left too.
Only on-request scenarios are listed. Automations, which start with a trigger, are switched on with Start in the scenario list: see Manage automations.
Guest instructions
Use Arrival and access instructions for the practical information guests need before arrival: where to go, how to enter and how to use any access system. The text is saved in the content language selected at the top of the page: switch language, write the translation and save again for each language you sell in.
On a nightly product, IoT panel availability window (minutes before check-in) sets how early the guest sees the device buttons: 0 means only after check-in, 240 means four hours before.
External calendars tab
Each unit has its own box, titled with the unit's name, in two parts.
Export the calendar to the booking sites shows the unit's calendar link. Paste it into the calendar of that unit's listing on Airbnb, Booking.com or Vrbo: there, the nights taken on Roraima and the dates you have closed show as unavailable. Copy copies the link. Generate a new link replaces it after a confirmation; the old link stops working, so paste the new one into every site that used it.
Import the calendars of the booking sites lists the calendars that bring bookings into the unit, with their name, booking site, state and last synchronisation. Each imported booking costs 1 credit. On an active calendar you can Sync now, Pause or Remove; a paused calendar brings in neither new bookings nor cancellations, and offers Resume and Remove.
The Connected portals page (Vendor Back Office → Calendars → Connected portals) lists the imported calendars of all your listings in one table: booking site, state (Active, Paused or Failed), last synchronisation and its result. Sync now is there too for an active calendar, and Open the listing's calendars brings you back to this tab, where you pause, resume, remove or add calendars.
A calendar that cannot be read is flagged in several places: a pink ! beside the listing in the Calendar, a number followed by an exclamation mark beside Calendar and Connected portals in the menu, a red notice at the top of All bookings, and the Failed state in Connected portals. Until it works again, Roraima receives neither new bookings nor cancellations from that booking site.
To connect a calendar, press + Add external calendar, choose the Unit, paste the Calendar link given by the booking site, check the Booking site and give the calendar a name. Check the connection tests the link before you add it.
Bookings that arrive from one site are not passed on to the others, so also connect the sites' calendars to each other. Booking.com synchronises only a property that is open and bookable, with at most 20 room types and one unit per type: connect each unit's link to a different room type. On Airbnb, set the booking window to 12 months, because Airbnb sends the dates outside its window as closed.
On a time-slot product each unit's link shows all its bookings in a calendar, for example for your staff, and no calendars are imported from booking sites.

Save the booking settings
Use the product's main Save action after changing any of the three tabs. It saves the pause, date exceptions, seasons, rules, the answers about the accommodation, prices, arrival mode, places, units, devices, locks, scenarios and guest instructions together. Leaving the page without saving loses them all.
Units are saved even when another part of the tabs has an error, such as a missing cancellation policy: correct the error and save again.
The External calendars actions (Copy, Generate a new link, Sync now, Pause, Resume, Remove and Add external calendar) take effect on their own, without the product's Save. The unit order is saved from its confirmation page.
Fix common problems
If a calendar date does not change, use + Add date override instead of clicking the day in the preview.
If guests see Bookings are paused or cannot book at all, check the Paused bookings box: remove the tick, or wait for the Reopens on date.
If you look for a limit of concurrent bookings, it no longer exists: add units to sell more copies of the same accommodation, or raise the places per unit to sell it per person.
If you look for the arrival confirmation, devices or locks in the Booking tab, they are in Units and access. Calendar links and imports are in External calendars.
If a red notice says the listing has no units, it cannot be booked: add a unit and save.
If a booking site stopped sending its bookings, open Connected portals: a calendar that does not work shows its reason in red. A calendar in the Failed or Paused state waits for Resume in the External calendars tab, and an Active calendar can be read again with Sync now.
If the Calendar marks your listing Not on sale, the site does not sell it and none of its nights can be booked: check its status and the readiness points in Manage products.
If buyers cannot choose the expected dates or times, review the pause, weekly availability, date exceptions, seasons and units together.
If an automation is missing from the scenario lists, it is not an on-request scenario: switch it on with Start in the scenario list instead.
If a unit cannot be archived, it still has bookings or blocks ending today or later, or it is the last unit of the listing.
If the accommodation answers are missing on a copied product, answer them again: copying a product does not copy them.
If a lock name cannot be entered, select the lock first. If a saved lock is shown as unavailable, replace it with a compatible active device.
