Calendar

What this page is for

The Calendar lays out every unit of your listings night by night, with each booking as a bar from arrival to departure. Use it to see which nights are free, where each booking comes from, and to add a booking or close dates straight from the grid.

It shows the listings booked by the night. Spaces booked by time slot are not in it: a note under the grid links to those listings, where their calendar is.

Menu path

Vendor Back Office → Calendars → Calendar

The Bookings and Calendars sections appear for Owners and Managers, and Calendars comes right after Bookings.

A number followed by an exclamation mark beside Calendar in the menu, as in (2!), counts the external calendars that are not working. It is the number shown on Connected portals.

Choose what to show

The bar at the top of the page only chooses what to display. Nothing is saved.

Previous is greyed out when the grid starts today, and Next when the grid already reaches the last night open for sale.

The three figures

Three figures describe the days shown: Nights booked, the share of the nights open for sale that already have a guest; Nights available, the free nights you can still sell; and Longest gap, in nights, the longest run of free nights in a row in a single unit. In a shared unit (see Places per unit in Booking configuration), a night that already has a guest but still has places on sale counts as free in the figures, because the site sells it; the booking stays visible as a bar in the grid.

Past nights and closed nights are not counted. The figures follow the structure and the listing you choose, and Only with problems does not change them, except that no figures are shown when it leaves no listing to display.

When no night is free and the pause accounts for more nights than your bookings do, the three figures give way to the single message Listings paused: a share of booked nights would be misleading.

Read the grid

The grid scrolls sideways. Months and days run along the top, with weekends and today highlighted.

Listings and units

Listings are grouped by structure: press a structure's name to collapse its group, and listings without a structure sit under No structure. A long list is split into pages by structure, with Previous, Next and the page number under the grid.

Each listing has its own row with its name, then a Nightly price row, then one row for each unit. The name opens the Booking tab of the listing, and a listing with a single unit repeats its name on the unit row. The nightly price changes with weekends, seasons and date exceptions, and is empty where the night is closed.

Two marks can sit beside a listing's name:

  • A pink ! means that one of its external calendars is not working ("An external calendar is not working"). Press it to open the External calendars tab of the listing.
  • The label Not on sale means that the site does not sell the listing ("This listing is not on sale on the site, so none of its nights can be booked"). All its nights are closed and none is shown as free.

Bookings

A booking is a bar from the arrival day to the middle of the departure day, with the guest's name. Press it to open the booking. Pointing at it shows the guest, the source, the status, the dates, the number of nights and the number of guests. A dashed bar is a booking that is still pending.

The colour of a bar shows where the booking comes from. The legend under the grid names every colour and mark:

LegendWhat it shows
RoraimaA booking made on Roraima.
Airbnb, Booking.com, VrboA booking that came from the calendar of that booking site.
Other calendarA booking that came from another external calendar.
ManualA booking you recorded yourself: see Add an external booking.
Closed by handA closure of one unit, with no guest.
Not on saleNights of a listing that the site does not sell.
PausedNights of a listing whose bookings are paused.
Beyond the dates on saleNights farther away than the site sells.
OverlappingTwo bookings that take the same nights. Choose which one to keep from the overlapping bookings page described in Manage bookings.

Closed nights

A night that cannot be booked is drawn closed, and pointing at it gives the reason:

ReasonWhat it means
Day of the week not open for bookingThe weekly availability of the listing closes that day.
Season closed, followed by the season's nameThe night falls in a season you closed.
Day closed by an exceptionA date exception closes that day.
Listing pausedBookings of the listing are paused.
Beyond the dates on saleThe night is farther away than the site sells.
Night with an access code still validThe night stays held while an access code already given is valid.
Night held by a date change in progressThe old nights of a booking whose dates are being changed stay held.
Listing not on saleThe site does not sell the listing, so all its nights are closed.

The first four come from the weekly availability, seasons, date exceptions and pause set in Booking configuration.

Add a booking or close dates

Select one or more free nights of a unit. Press a night, then press another night in the same row to extend the selection up to it; the selection stops at the first night that is not free. You can also drag across the nights, and press the same night again to drop it. Only free nights from today onward can be selected.

Selecting saves nothing: a bar at the bottom of the page gives the unit, the dates and the number of nights, with the buttons that apply.

The form that Add booking and Close these dates open is described in Add an external booking. The Calendar still saves nothing: you check the data and press Create booking there, or Close the dates for a closure.

From your Home page

Your Home page links here: the Calendar link in the title of the Occupancy for the next 14 days card, the line that says how many units are shown, and the Close dates shortcut all open this page. The card counts nights the way the Calendar does, so the two agree.

If you are a Manager

As a Manager you also see the listings of the Owners who have an active delegation, each marked with its Owner. The buttons that add or close dates appear only where that delegation allows the action.

Fix common problems

  • I selected nights but nothing happened. This is expected: selecting saves nothing. Press Add booking or Close these dates, then complete and save the form that opens.
  • The three figures say "Listings paused". Your listings are paused for most of the nights shown, so a share of booked nights would be misleading. To sell again, remove the pause in the Booking tab of the listing: see Booking configuration.
  • I cannot select a night. It is booked or closed. Point at it to read the reason; the rules behind it are changed in the Booking tab of the listing.
  • I do not see Close these dates. The listing has a single unit. Use Close dates in the listing instead.
  • I cannot reopen a closure. Reopen these dates works only on closures entered on Roraima. A closure that comes from a booking site is removed on that site, and a day closed by a rule is changed in the rules of the listing.
  • A booking from a booking site is missing. Check whether the calendar of that site is working on Connected portals. Until it works again, Roraima receives neither new bookings nor cancellations from it.

Conditions

The Calendar saves nothing by itself: selecting nights only prepares a form. Reopen these dates acts as soon as you press it.
