When Alloggiati Web rejects a guest registration form, the error message will point out which field is causing the issue, but it rarely explains why. Here are the most frequent errors, where they stem from, and how to fix them before your deadline expires.
The Italian State Police portal checks your data at different stages, depending on how you submit it. If you are entering details manually via the "Inserimento" section, the system validates the data the moment you confirm the form, blocking you from proceeding until the specific fields are corrected. If you are uploading a file via the "File" section, the check happens after you hit the "Elabora" button. The system then returns the number of successful and rejected forms, along with the specific file line and the reason for each rejection.
In the second scenario, you have a choice. You can send the successful forms immediately using "Invia" and deal with the others later, or you can cancel the entire batch, fix the file, and re-process it from scratch. The first option is usually better if you only have a few errors and the deadline is looming, as a guest reported on time won't be affected by the need to correct another.
The portal's manual includes a piece of advice that saves a lot of trouble: always use the buttons provided within the service to navigate. Never use your browser’s "Back" or "Forward" buttons, as these can interrupt the submission process halfway through.
This is the error that causes the most panic, usually because it pops up when you are already running late. The portal only accepts arrival dates for today or yesterday. The reason is straightforward: the law in Italy requires guest data to be submitted to the Police Headquarters within twenty-four hours of arrival, and the system is hard-coded to that window. A form with an arrival date from three days ago simply will not go through, regardless of what else you enter.
There is no way to bypass this, so do not waste time trying. In such cases, it is best to write to your local Police Headquarters immediately, explain what happened, and follow their instructions. The same applies to the length of stay, which is counted in days and cannot exceed thirty. This must be the number declared by the guest upon arrival, not an estimated duration.
Do not rely on your memory for birth municipalities. You must select them from the Police’s official table, which also includes municipalities that have been abolished or merged. These are shown with a strikethrough in the portal list because, for those born before a merger, the original municipality still applies. Some names exist in multiple provinces, such as Castro, which is found in both Bergamo and Lecce; selecting the correct province is vital. Use the standard vehicle registration codes for provinces, with the exception of Rome, which is written as RM.
The Country of birth must always be indicated, even for those born in Italy, using the Italian country code. For those born abroad, the municipality field remains empty and only the country counts. Citizenship follows the same table as the countries, and this is where a subtle error often occurs: on a foreign document, citizenship is printed in that country's language, such as "DEUTSCH" on a German ID card, but the portal requires the term from its own table, which is "Germania".
You must choose the document type from the 95 codes in the Police table, ranging from ID cards and passports to driving licences and diplomatic documents. The document number can be a maximum of twenty characters long. The place of issue is the municipality if the document was issued in Italy, or the country if it was issued abroad; simply writing "Italia" for an Italian document is not enough.
There is also a rule that saves unnecessary work. You only need to provide document details for the individual guest, the head of the family, or the group leader. For family members and group members, document details are not required, but these individuals must still be registered under their respective head of family or group leader.
If you submit via file, you must work with a rigid format described in Chapter 12 of the portal manual. Each guest occupies a line of exactly 168 characters. The file must be a plain text file in UTF-8 encoding and can contain up to a thousand lines. Each field has a fixed length and must be padded with spaces; for example, a five-letter surname must be followed by forty-five spaces to reach the required fifty.
This leads to two classic errors. The first is an extra or missing space in a field, which shifts all subsequent data and makes the entire line unreadable. The second concerns family and group members, whose lines end with thirty-four spaces instead of document data: if a program automatically strips trailing spaces from the end of lines, it shortens the line and the portal rejects it. Also, remember two ordering rules: family members must always appear on the lines immediately following their head of family, and every line must end with a carriage return except for the last one.
Not all errors relate to the forms themselves. The "ACCESSO NEGATO" (Access Denied) message, according to the portal's FAQ, indicates that your username or password is incorrect. If the problem persists after double-checking, use the "Recupera credenziali" (Recover credentials) function or ask the Police Headquarters to reset your password. A "Page not found" error is often resolved by clearing your browser cache, while three failed attempts with the codes from your security card will redirect you to the username and password login screen. On Roraima, guests enter their own data from home before they arrive, and each person fills in their own details. Before the form is submitted, every field is automatically converted into the official codes required by the State Police tables: the place of birth is matched against those in force at the time of birth, citizenship is recognised even when written in a foreign language, and names with accented letters are converted to the alphabet accepted by the portal.
When a piece of data does not find a match, the form is held back before submission, and the dashboard explains the issue in plain language, indicating which guest is affected and what is missing. A real-world example of this message is: "Guest no. 2: multiple municipalities share the name provided. Please add the province code in brackets, for example 'Castro (LE)'". Once the data is corrected, the form is ready to go.
Furthermore, before the actual submission, Roraima has the Police service verify the forms. It checks them without registering them, and only if the verification is successful is the communication sent. Proof of a successful submission is the receipt. The portal makes this available in the "Ricevute" (Receipts) section for thirty days. You should download and keep it for five years. It contains the number of forms sent that day, without the guests' names. The portal's FAQ is clear on one point: if there is no receipt for a specific date, no forms were sent that day. For a check on the same day, the "Analisi" (Analysis) section shows the names transmitted today, sorted by name or time.

It means the username or password entered is incorrect. After checking them, if the message persists, you can recover your credentials via the "Recupera credenziali" section of the portal or ask the Police Headquarters to reset your password.
Because it only accepts today's or yesterday's date, in line with the twenty-four-hour deadline required by Italian law. For an older arrival, you must ask your local Police Headquarters how to proceed.
On the same day, check the "Analisi" section, which lists the names transmitted today. For subsequent days, the receipt in the "Ricevute" section is the definitive proof; it is available for thirty days. If it is missing for a specific date, nothing was sent that day.
In Italy, failing to report a guest is a criminal offence. Article 109 of the Consolidated Law on Public Security does not provide a specific penalty, so Article 17 applies, which is punishable by arrest for up to three months or a fine of up to 206 euros. A late report is always better than no report at all.
